How to find all entries related to a document in Microsoft Dynamics 365 Business Central

Being able to quickly locate all entries related to a document is key to verifying transactions and ensuring complete traceability. In this video tutorial, we show you how to use the Find Entries feature in Microsoft Dynamics 365 Business Central to instantly locate all documents and ledger entries associated with a specific transaction.

How the find entries feature works

Once you open the Find Entries window, you can search using either:

  • the internal document number; or
  • the external document number (for example, a vendor invoice number).


This functionality provides a complete overview of how a document has been processed throughout the system.

Searching by internal document number

If you want to review a document that has been posted in Business Central, simply enter its internal document number and click Find.

The system will immediately display all related records, including:

  • posted invoices;
  • general ledger entries;
  • VAT entries;
  • other documents associated with the transaction.


From the same window, you can open any of these records directly. For example, you can open a Posted Sales Invoice to review the transaction details, document lines, or total amounts.

Searching by external document number

The feature is equally useful when you only have the vendor’s invoice number.

Enter the external document number in the appropriate field and run the search again. Business Central will retrieve all records associated with that external reference, allowing you to open the Posted Purchase Invoice directly and review the related transaction details.

Complete document traceability

The Find Entries feature provides a fast and efficient way to track the complete lifecycle of a document within Business Central. Whether you search using an internal document number or a vendor invoice number, you can instantly locate all related general ledger entries, VAT entries, and source documents associated with the transaction.
