Microsoft Dynamics 365 Business Central 2026 Release Wave 1: How new features are transforming the way companies manage their business (Part II)

In Part II, we explore how artificial intelligence is transforming Microsoft Dynamics 365 Business Central. From Copilot and the new Payables Agent to smarter document management, quality control, and Microsoft 365 integration, discover how Business Central is evolving into an intelligent business partner that helps teams automate repetitive tasks, access information faster, and work more efficiently.

In the first part of the article, we explored the improvements dedicated to financial processes and how Business Central simplifies accounting and tax-related activities. However, perhaps the most exciting area of the platform’s development is the integration of artificial intelligence and the transformation of the way users interact with the ERP system.

Microsoft is no longer talking only about automation. Today, Business Central is beginning to function as a digital business partner, capable of providing recommendations, executing repetitive tasks, and facilitating access to information.

Artificial Intelligence becomes part of everyday work

Over the past two years, Microsoft has invested significantly in the development of artificial intelligence technologies, and Business Central is benefiting greatly from these investments.

While the first Copilot versions mainly provided support for drafting text or finding information, the new Release Wave goes much further. The goal is no longer simply to assist users, but also to automate entire processes.

In practice, Business Central is beginning to perform tasks rather than simply answer questions.

Copilot becomes a true business assistant

One of Microsoft’s key objectives is to reduce the amount of time users spend on administrative tasks.

Every organization has dozens of repetitive operations:

  • checking documents;
  • completing missing information;
  • comparing invoices;
  • identifying errors;
  • validating data.

Until now, all these activities required human intervention. Business Central is gradually beginning to automate them through Copilot.

The result is not just time savings. It also means a significant reduction in the risk of errors and a much more natural user experience. Instead of navigating through multiple screens, users are increasingly interacting with the application in a conversational way.

Payables Agent – A new step towards AI-Assisted Accounting

One of the most interesting new features in this version is the evolution of Payables Agent. It represents one of the first AI agents integrated directly into Business Central. Its role is to support finance teams in managing documents received from suppliers and automating time-consuming activities. The system can analyze available information, identify discrepancies, and suggest actions to users, reducing the need to manually check every document. For finance departments processing hundreds or even thousands of invoices each month, the impact can be considerable.

We are not just talking about saving time. We are talking about enabling finance professionals to focus on analysis and decision-making rather than manual data entry.

Document Management becomes smarter

Documents are among the most important resources in any organization. Contracts, invoices, quotations, order confirmations, tax documents, and reports are used daily by most departments. Business Central 2026 takes an important step towards more centralized document management. Microsoft continues to expand its integration with SharePoint and Azure, giving organizations the ability to manage documents in a more secure and efficient way.

This means:

  • faster access to documents associated with transactions;
  • easier collaboration between teams;
  • fewer duplicate files;
  • better information traceability.

For companies already using Microsoft 365, this integration creates a unified ecosystem in which documents and ERP processes work together seamlessly.

Less time spent searching for information

One of the most common challenges in companies is finding information. Questions such as Where is the invoice?, Who modified the document?, Is this the latest version?, or Has the contract been approved? are probably familiar to most teams. Through tighter integration with Microsoft platforms, users can access information much faster without having to leave the application.

It is a subtle change, but one that can save hours of work every week.

A more modern user experience

Even as Business Central becomes increasingly sophisticated, user experience remains essential. Microsoft continues to invest in simplifying the interface and reducing the number of steps required to complete everyday activities. The new version brings numerous optimizations related to navigation, information display, and workspace personalization.

The goal is clear: fewer clicks, less time wasted, and faster access to important information.

A platform that adapts to the user

One interesting aspect is that Microsoft is no longer developing Business Central exclusively for ERP specialists.

The application is increasingly being designed for users who may not have advanced technical knowledge. As a result, activities that previously required training can now be performed more intuitively, thanks to Copilot suggestions and new search and navigation capabilities.

This approach helps reduce the time required to train new employees and makes it easier to adopt the solution across the organization.

Quality management becomes part of the Business Central standard

Another important development is the expansion of functionality dedicated to quality management. Companies in manufacturing, distribution, and other industries where quality control is essential will benefit from better-integrated processes directly within the platform. Inspections, checks, and compliance tracking can be managed in a more structured way, without relying on external solutions or complex custom developments.

This contributes not only to improving the quality of products and services, but also to reducing costs generated by errors or non-conformities.

Business Central becomes the center of the Microsoft ecosystem

Perhaps the most important conclusion from analyzing this version is that Microsoft is no longer developing Business Central as a standalone ERP system. The platform is becoming the center of a digital ecosystem where artificial intelligence, Microsoft 365, SharePoint, Azure, and other Microsoft applications work together to simplify users’ everyday activities. And this is only part of what Release Wave 1 has to offer.

In the final part of the article, we will explore the features dedicated to purchasing, invoicing, and supply chain management, as well as the conclusions regarding the impact of this version on companies in Romania.

Focusing on Results — When IT Language Starts to Mean Nothing

Between acronyms and buzzwords, we seem to have forgotten how powerful a simple word can be. Romanian IT and business live inside a bubble of terms that sound important, yet rarely communicate anything with the kind of simplicity people can actually digest. As technology has evolved at breakneck speed, we have gradually learned to communicate less like people and more like slides.
